Privacy Policy

This policy explains what data TutorYard (“we”) collects, why, and how it is handled. The short version: we collect what is needed to run the product, we don’t sell data, we don’t run third-party ad trackers, and our analytics are cookieless.
1. Data you give us
- Account data: your email address and name, used for sign-in (magic links) and service emails.
- Business data you enter: students, parent contact details, lessons, notes, reports, invoices and payment status. You control this data; we process it on your behalf to provide the Service.
2. Data we collect automatically
- Session cookie: a single first-party cookie keeps you signed in. No advertising or cross-site cookies.
- Analytics: we use our own cookieless page-view analytics. We store the page path, referrer domain, country, device type and a visitor identifier that is irreversibly hashed and rotates every day — it cannot be linked back to you and is not stored alongside your IP address or browser details.
- Error logs: when something breaks, we record the technical error and the request path to fix it.
3. AI processing
When you generate a progress report, the relevant lesson notes and student first name are sent to Anthropic’s Claude API to draft the text. Drafts are sent to parents only after your explicit approval. We do not use your content to train AI models.
4. Service providers (subprocessors)
- Vercel — application hosting
- Neon — database hosting (PostgreSQL)
- Resend — transactional email delivery
- Anthropic — AI report drafting
- Polar — subscription billing as merchant of record (they receive your payment details; we never see your card)
- Google — only if you connect Google Calendar; the access token is stored encrypted and used solely to push your lessons to your calendar
5. Parent portal
Parents access lesson schedules, reports and balance through a signed link, without an account. The portal shows only the data the tutor chose to share, and the tutor can revoke the link at any time.
6. Retention and deletion
Records you delete in the app are soft-deleted and excluded from use. You can request full deletion of your account and all associated data at any time by emailing us; we complete verified requests within 30 days. If a parent asks you to delete their data, deleting the student in the app removes it from all parent-facing surfaces.
7. Your rights
You may request access to, correction of, export of, or deletion of your personal data. Parents may direct such requests to their tutor or to us. Contact: hello@tutoryard.com
8. Children
TutorYard accounts are for adults. Information about students is entered by their tutor; we do not knowingly collect data directly from children.
9. Changes
We will announce material changes to this policy by email or in the app before they take effect.
